Home/Systems map

Map your business systems and decide what to build first.

A working session with Jonathan to follow your trade business from the first call to the paid invoice. Bring the office and someone from the crew. Leave with a written map of where jobs wait on you and what to fix first.

A working session on how your business actually runs.

We follow the work through the business, from the enquiry arriving to the invoice going out. Wherever it waits for you, we write it down.

What a written systems map covers

A fictional plumbing business. This shows the shape of the written map, rather than a client result.

Today
Website enquiry → owner inbox → quote → deposit → crew job brief.
Where work waits
The owner checks availability, writes every quote and remembers each follow-up.
Build first
Capture job type, site address and access details once. Assign the enquiry. Draft the quote and queue follow-up after approval.
Owner keeps
Pricing, unusual requests and approval of the final quote.
Keep as it is
The existing booking calendar and accounting tool.
Check it worked
Compare first reply time, quotes waiting and enquiry-to-booking conversion using the same definitions before and after launch.

The build scope follows separately, with inclusions, responsibilities, dependencies and a fixed price.

Who's in the room

You, for all of it, because most of what we're mapping lives in your head. Then whoever handles enquiries and admin, plus one or two people who do the work. On site or remotely, usually over one or two sessions.

What you walk away with, in writing

  • How the business runs today, from enquiry to invoice
  • Every point where it depends on you, named plainly
  • What to build first, and why in that order
  • A written scope and a fixed price, if there's something worth building

What happens after the map

If there's something worth building, we'll show you the scope and price in writing. You decide whether to go ahead. If what you need isn't something we build, we'll say so, and the written map is still yours.

Worth knowing

I run every map myself. Everything we build afterwards depends on getting it right.

Request a systems map

A few details so Jonathan can come back to you prepared.

The systems map is a paid working session. Jonathan will confirm the scope and fee before you book. Sending this request does not commit you to a session or a build.

Jonathan replies personally, usually the same business day. You'll also get a text from our own system within a minute, which is a fair preview of what we build.

Before you request one.

What happens after I request a systems map?

You'll get a text from our system within a minute, then Jonathan replies personally, usually the same business day, to find a time and ask a little about the business.

Is the systems map paid?

Yes. Jonathan confirms the scope and fee with you before you book. You can decide whether to go ahead once you have those details.

How long does the map take?

Usually one or two working sessions. A business with several crews or different job types may need more mapping than a sole trader running one job at a time.

Do I have to go ahead with a build afterwards?

No. If there's something worth building, the map ends with a written scope and a fixed price, and you decide from there. If there isn't, we'll tell you.

Can the map be done remotely?

Yes. It can happen on site or remotely. We're based in Melbourne and work with trade businesses across Australia.

Who should I bring?

Yourself, for all of it. Then whoever handles enquiries and admin, plus one or two people who do the work. They usually know best where things get stuck.
